Behind the scenes

The real magic happens behind the scenes.

Your audience sees the event page. Your team gets the tools to run it: a box office for bookings and access, and a Tech area for the people looking after the broadcast.

Try the example

Explore the tools with our made-up event, North Coast Live. This is a demonstration; public ticket sales and live viewing are not open yet.

The Admin area

Your box office, in one place.

See how sales are going, find a booking and help someone get into the event. Admin keeps those everyday jobs together.

  • Follow ticket sales

Search by name, email or booking number. See tickets sold, money received and refunds, then download the matching sales register. Your payment account supplies the payout figures.

  • Help your audience watch

Give someone complimentary access, create free-ticket codes with expiry dates and use limits, or resend a link to their verified email address. Each action is recorded so the team can see what happened.

  • Offer a discount

Create a percentage or fixed-amount coupon for a ticket type, with an expiry date and a limit on uses. Encore calculates the price securely. Coupons currently work with test checkout only.

  • Prepare the event details

Update event and ticket descriptions while they are still drafts. Changes to an approved or published event are reviewed before they appear, so everyone is working from the same details.

  • Keep track of refunds

Check payment-account information and record who issued a refund and why. Full refunds currently work with test payments only; we need to check real refunds and viewing access before launch.

The Tech area

A clear view of the broadcast.

Tech is for the people preparing the stream and looking after it on the day. They can see what needs attention and who is handling it.

  • Prepare the broadcast

Record the feed plan and who is responsible for it. Ticket sales and viewing have separate opening controls, so you can prepare each part before letting the audience in.

  • Check the services behind the event

Review stream information and look for email, payment or web-address problems. The dashboard shows the latest information recorded by those services. The crew still needs to watch and listen to the actual feed.

  • Keep problems in view

Run site checks, record a problem and track the follow-up. Scheduled checks need to be enabled for the event. Agree who is covering the broadcast as well: automated checks do not replace a person watching it.

  • Give the team the right access

Add organisers and technical staff with the permissions they need. Important actions are recorded, and each person signs in with their own account.

  • Know what needs doing today

Admin gets a daily sales and access summary; Tech gets the checks and problems to follow up. We set up delivery and test the inboxes before switching on those emails.
